Due to the growth experienced this last year, we are creating new figures in our structure and currently we are looking for a solid profile, with capacity and experience, that contributes to the growth of GT Linkers from its proactivity and ambition to make us function better as a company. Supporting the partners of the company, the selected person will have a series of responsibilities in different areas: Office-related Tasks, Process Improvement, Internal Procedures, Analysis and Communication.
We are looking for an Office Assistant focused on helping the Managing Partners accomplish business-related tasks.
TASKS & RESPONSIBILITIES
§ Creating, organizing, and distributing files (PPT, Word, Excel)
§ Screen phone calls, redirect calls, and take messages.
§ Interaction with clients, visitors, and vendors.
§ Setting appointments and arranging meetings.
§ Maintaining calendars of management team.
§ Compiling reports and spreadsheets and preparing spreadsheets.
§ Conducts research and compiles data.
§ Maintaining computer system by updating and entering data. Maintains accurate records.
§ Implementing and maintaining procedures/administrative systems
§ Assists in setting up new client accounts.
§ Event planning and meeting setup and implementation.
§ Providing customer service to organization employees.
§ Prepare invoices and offer general staff support.
The most important thing is to find a professional person, oriented to quality and service, capable of covering different projects at the same time and working under pressure, with a high volume of work and who can adapt to working remotely if current circumstances like this require it. Although initially there will be supervision and drive to their work, we seek proactivity, passion, and results. People who propose things and who feel the project as their own, to become essential in our structure and each time to be able to address new challenges within an ambitious company. We need people, decisive, operative but with analytical skills, proactive, with attitude and ambition.
§ Experience: Prior international experience among consulting companies, staffing firms and related fields would be highly considered.
§ Languages: Fluency in English and Spanish. Other languages will be considered as a plus.
§ Technical / IT skills & Knowledge: Advanced user of Microsoft Office (Outlook, Word, PowerPoint & Excel, Teams), Internet & Social Media tools (LinkedIn, Facebook, Twitter…) is something good-to-have. Solid experience and strong command of database management (Salesforce).
§ Personal & Soft Skills: This role requires a combination of excellent communication and analytical skills. We are looking for a dynamic, problem-solving, flexible, open-minded, with passion for business efficiency. Entrepreneurial bent and desire to proactively create opportunities and exceed expectations. Ability to easily adapt and manage change and to thrive in a busy environment with deadlines. Proven organization, attention to detail, and strategic thinking skills. Ability to carry out specific tasks efficiently to move operations forward.
